Keep internal notes on customer profiles — the context your whole team sees but the customer never does.

The Notes section of a customer profile is your team's shared memory about that person — visible to staff, invisible to the customer.

What belongs in a note

  • Preferences you learned the slow way: “always deliver to the side gate”, “prefers brass finishes”.

  • Relationship context: “met at the spring fair — quoted for the hotel project”.

  • Service history that explains today's ticket: “last order arrived damaged, replaced free”.

Select Edit on the Notes card to add or update. The Note button in the profile header does the same thing in one click.

Notes and the wider picture

Notes sit alongside the customer's orders, payments and history on their profile. If you run the Orbit CRM plugin, deal notes and activities join the same timeline — see Plugins | Orbit CRM: Getting Started.

Tips

  • Write notes as if a colleague reads them mid-argument with the customer — because that is exactly when they will.

  • Never store card details, passwords or anything sensitive in notes. They are for context, not credentials.
