Customers | Deleting Customers & GDPR

Delete or anonymise customer records the right way — what gets removed, what stays for the books, and how to handle a data request.

Customers can be deleted from the Customers list (one, or several at once with the bulk selector). What matters is understanding what “deleted” means for your records and their rights.

What happens when you delete

  • The customer record — contact details, addresses, marketing preferences — is removed from your active list.

  • Order history is not destroyed. Financial records (orders, invoices, payment records) are kept for the periods your tax law requires — a legitimate-interest carve-out that every accountant and tax authority expects.

Handling a GDPR / data-subject request

  1. Access request — export their data: the customer's profile plus their orders (Customers export and Orders export cover it).

  2. Erasure request — delete the customer. Their personal identifiers go; the financial records the law makes you keep stay, with personal data stripped to what the record legally needs.

  3. Do it within the statutory window (30 days under UK/EU GDPR) and record that you did.

Tips

  • Delete for housekeeping (duplicates, test accounts) freely; delete for a legal request carefully and documented.

  • Check whether they have open orders, subscriptions or a gift-card balance first — deleting mid-relationship strands those.
