Inventory | Stock Levels

The Inventory section in Orbit allows you to view and manage stock levels for every product across all of your locations. From one screen you can see what is available to sell, what is committed to orders, and what is on its way in.

The Inventory section in Orbit allows you to view and manage stock levels for every product across all of your locations. From one screen you can see what is available to sell, what is committed to orders, and what is on its way in.

From here you can search and filter your stock, adjust quantities, view the movement history for a product, manage locations and transfers, and import or export stock using a CSV file.

Accessing Inventory

To access Inventory:

  • From the left-hand menu, go to Products.

  • Select Inventory.

The Inventory page will open, showing a list of your stock.

Inventory overview

Each row in the inventory list represents a product (or variant) at a single location. The list shows the following columns:

  • Product — the product name, including the variant where relevant.

  • SKU — the stock keeping unit used to identify the item.

  • Location — the location the stock is held at, such as a warehouse, shop, or third-party fulfilment site.

  • Unavailable — stock that is on hand but cannot be sold, for example items that are damaged, on hold, or set aside.

  • Committed — stock that has been reserved for orders that have not yet been fulfilled.

  • Available — stock that can be sold right now. This is calculated as On Hand minus Committed minus Unavailable.

  • On Hand — the total physical stock held at the location, including committed and unavailable items.

  • Incoming — stock that is expected to arrive, for example from a transfer or purchase order.

Searching stock

Use the Search field to find an item by product name, SKU, or barcode. This is useful when you hold a large number of products.

Filtering by location

Use the All locations menu to show stock for a single location, such as Main Warehouse, Bath Shop, or a third-party site. Leave it set to All locations to see every location at once.

Filtering by low stock

Use the Low stock filter to show only items that have fallen to or below a threshold (10 by default). This makes it easy to see what needs reordering before it sells out.

Adjusting stock

You can edit the On Hand, Available, and Unavailable quantities for a row directly in the list, then save your changes. To update several items at once, use the bulk adjust option to set new On Hand quantities for the selected rows in a single step.

To bulk adjust stock:

  1. Tick the items you want to update.

  2. Choose the bulk adjust action to open the Update On hand quantities dialog.

  3. Enter the new quantities.

  4. Save your changes.

Viewing movement history

Every change to a product’s stock is recorded so you can see how its quantities have changed over time. Open the Movement History view for an item to see each adjustment, sale, transfer, and import that affected its stock. You can also download the movement history as a CSV file for your own records.

Transfers and locations

Use the Transfers button to move stock between your locations and track those transfers, and use the Locations button to manage the warehouses, shops, and fulfilment sites where you hold stock.

Importing and exporting stock

Use the Export button to download your current stock levels as a CSV file. You can edit this file in a spreadsheet and then use the Import button to upload it back into Orbit, updating your stock in bulk. This is the quickest way to make large numbers of changes or to set up stock for the first time.

To import stock:

  1. Click Export to download a CSV file of your current stock.

  2. Update the quantities in a spreadsheet and save the file.

  3. Click Import and select your CSV file.

  4. Confirm the import and wait for it to finish.

Why stock levels are important

Accurate stock levels keep your storefront in step with what you actually hold, so customers only see and buy what you can fulfil. Keeping the Available figure correct helps prevent overselling, while the Committed and Incoming columns show what is already spoken for and what is on its way.

By using the Inventory section, you can:

  • See available, committed, on hand, and incoming stock at a glance

  • Track stock across multiple locations

  • Spot low stock before it runs out

  • Adjust quantities individually or in bulk

  • Review the full movement history for any product

  • Import and export stock using a CSV file
